# Is it safe to share personal or company data with AI chatbots?

## Answers

### Answer by Daria Smirnova

When you type into an AI chatbot, your message is sent to the provider's servers to be processed. What happens after that depends on the service, your account type and your settings. Understanding this helps you decide what is safe to share.

There are three main questions to ask about any AI tool.

Is my data stored? Most consumer chatbots save your conversation history so you can return to it. Many also keep data for a period for safety and abuse monitoring, even after you delete a chat.

Is my data used to train future models? Policies differ. Some consumer services use conversations for training by default but let you opt out in settings. Others ask for your choice. Business, team and enterprise plans from major providers typically do not use your data for training by default and offer stronger contractual protections. API usage also generally is not used for training by default at the big providers.

Who can see it? Conversations may be reviewed by staff in limited situations, such as investigating abuse. Shared links to chats can be viewed by anyone who has the link.

With that in mind, here is a practical guide.

Generally fine to share: general questions, public information, your own non-sensitive drafts, anonymised examples and general business problems.

Think twice about sharing: personal health details, internal strategy documents, unreleased financial results and anything covered by a confidentiality agreement.

Avoid sharing: passwords, OTPs, PINs, API keys, bank account and card numbers, Aadhaar, PAN or passport numbers, customers' personal data and source code or trade secrets, unless your company has approved that specific tool.

For companies, a few steps make a big difference:

1. Create a clear AI usage policy that lists approved tools and what data can go into them.\
2. Use business or enterprise plans with proper data agreements rather than staff using personal accounts.\
3. Train employees on what not to paste.\
4. Consider data protection laws, such as India's Digital Personal Data Protection Act, when personal data of customers or employees is involved.

A useful habit is to anonymise before pasting. Replace real names, numbers and identifying details with placeholders like "Client A" or "Rs X." The AI can still help with the structure and wording, and your sensitive information never leaves your control.
