Summarising is one of the things AI does best. Tools like ChatGPT, Claude, Gemini and Copilot can turn a 50-page report, a long email thread or an hour-long meeting into a short, readable summary in seconds. Most of the time the result is good. But "good" is not the same as "complete," and knowing the difference matters.

AI summaries are strong at capturing the main topic and overall argument, pulling out key decisions and action items, organising scattered discussion into a clear structure and adapting the summary for different readers, such as an executive or a technical team.

They are weaker in a few predictable places:

Small but important details, such as an exception in a contract clause or a single changed deadline, can be left out.\
Numbers and names can be misread, especially from scanned documents or poor audio.\
Nuance and tone can be flattened. A hesitant "maybe we could consider" in a meeting may come out as a firm decision.\
Who said what can get mixed up in meeting transcripts when speakers talk over each other.\
In rare cases, the AI may add a point that was never actually stated.

To get more reliable summaries:

1. Tell the AI what matters to you. "Summarise this tender document, focusing on eligibility criteria, deadlines, earnest money deposit and penalty clauses" is far better than "summarise this."\
2. Ask for specific sections, such as decisions, action items with owners and deadlines, open questions and risks.\
3. Ask it to quote the original sentence for key facts, so you can verify them.\
4. For very long documents, summarise section by section, then combine.\
5. For meetings, use good audio and a tool that labels speakers, and review the action items before sending them out.\
6. Ask follow-up questions, such as "Did the document mention any exceptions to this rule?"

The right level of trust depends on the stakes. For catching up on a news article or an internal update, an AI summary is usually enough. For legal agreements, financial documents, government notices, medical reports or anything you will sign or act on, use the summary as a guide to what to read, then read the important sections yourself.

Used this way, AI summaries can save hours every week while keeping you in charge of what actually matters.
